All You Need to Know About Data Mailbox in One Place

It’s more than just email – it’s a secure, state-run communication channel between you and the Czech authorities. Discover how to use it with us!

What Is a Data Mailbox?

A Data Mailbox is a digital inbox where official communications (from tax offices, courts, police, trade offices, etc.) are delivered electronically. No more stacks of papers or long queues at the post office. It replaces snail mail for many government tasks and has legal power – messages sent here are considered officially delivered after 10 days, even if you don’t open them. 

 

Who Gets One – and How?

There are two types of data mailbox setup:

 

1.  Automatically (by law)

The Czech government automatically sets one up if you are:

  • A public authority

  • A business (self-employed person with IČO or Czech company ID)

  • A legal entity registered in the Czech system

  • A regulated professional (lawyer, tax advisor, auditor, court interpreter, etc.)

No need to apply — you’ll receive your login info by post or the mailbox will activate after 10 days.

 

2. On Request

Others can apply voluntarily – this includes:

  • Regular citizens (Czech or foreign)

  • Foreign businesses or freelancers not registered in the Czech registries

  • Legal or natural persons not entered in the Czech “registr osob”

 

How to Do it as a Foreigner?

Foreign individuals and businesses can apply – even if they don’t have a Czech IČO. But the process must be done in writing, in Czech, and with properly verified identity and documents. This includes translations, apostilles, or superlegalization depending on your home country. See full instructions here.

 

How to Set Up a Data Mailbox (If Not Created Automatically)

 

Option A: Online (fastest)

Option B: In Person

  • Visit a Czech POINT office (e.g., post office or municipal office)

  • Bring ID and request mailbox setup – you’ll get confirmation immediately

Option C: By Post

  • Download and fill in the form (Czech only)

  • Have your signature officially verified

  • Mail it to Digitální a informační agentura, odbor eGovernmentu, Na Vápence 915/14, 130 00 Praha 3

  • Mailbox is set up within 3 working days

 

Receiving Login Details

Once your mailbox is ready, the login details are sent:

  • To your existing data mailbox, or

  • By post or email, depending on the request method

 

How to Use It

  • Log in at mojedatovaschranka.cz

  • Check messages from the tax office, courts, or authorities

  • Send official messages to institutions (like submitting your tax return)

  • Messages stay available for 90 days, unless you archive them

 

Delegating Access

You can authorize someone (e.g., your accountant) to access your mailbox. This is done via the settings inside your account after login.

 

Important Notes for Expats

  • If you’re self-employed with an IČO, you already have a mailbox – check your post!

  • Not checking your mailbox doesn’t excuse you — after 10 days, messages are considered legally delivered

  • If you’re a foreign entrepreneur, follow the postal application method with Czech translations and verified documents
